Description

  • Manage speaker-program operations for assigned business units while ensuring compliance with SOPs and regulatory requirements.
  • Maintain accurate, audit-ready program records, documentation, tracking tools, dashboards, and databases.
  • Serve as the primary operational contact for field representatives, physician speakers, Compliance, Legal, Finance, and other partners.
  • Track compliance issues and escalations through resolution, documenting communications and outcomes.
  • Support speaker nomination, vetting, onboarding, credentialing, contracting, and annual recertification processes.
  • Manage honorarium and expense documentation, submit payment requests to Accounts Payable, and track payment status.
  • Provide program-status visibility, respond to inquiries, and contribute to onboarding and training materials.
  • Identify workflow risks or gaps and escalate issues to the Associate Director.
  • Coordinate contracting workflows to ensure fair market value compliance and timely agreement execution.

Requirements

  • Bachelor’s degree required.
  • 3–5 years of experience in speaker bureau execution, HCP engagement, or customer success.
  • Knowledge of healthcare compliance requirements, including HCP contracting, fair market value, PhRMA, and AdvaMed codes.
  • Experience managing high-volume administrative workflows with strong attention to detail and multiple competing priorities.
  • Excellent communication and interpersonal skills for working with physician speakers, field teams, and cross-functional partners.
  • Strong organizational and project management skills with a record of meeting deadlines in fast-paced environments.
  • Familiarity with honorarium, expense reimbursement, and Accounts Payable workflows preferred.
  • Experience with Salesforce.com or similar CRM platforms preferred.
  • Knowledge of speaker bureau management platforms and event-management tools preferred.
  • Experience working in a remote-first, cross-functional environment preferred.
