Description

  • Own the day-to-day financial operations and serve as the company’s primary bookkeeping resource.
  • Process accounts payable and receivable, including vendor invoices, purchase orders, customer payments, aging reports, and outstanding receivables.
  • Reconcile customer deposits, vendor credits, bank accounts, and credit card statements on a regular basis.
  • Prepare monthly financial reports, including Profit & Loss statements, Balance Sheets, and Cash Flow reports.
  • Maintain a clean, audit-ready general ledger and coordinate with the outside CPA on quarterly reviews and annual tax preparation.
  • Process semi-monthly or bi-weekly payroll through ADP and ensure accurate payroll tax filings and employee records.
  • Handle employee onboarding and offboarding in the payroll system.
  • Reconcile daily Lightspeed POS sales data with QuickBooks Online and resolve discrepancies in sales, tax, and payment mappings.
  • Manage QuickBooks Online as the primary administrator, including the chart of accounts, coding practices, bank feeds, rules, and integrations.

Requirements

  • 3–5 years of full charge bookkeeping experience, ideally in a retail or product-based business.
  • Proficiency in QuickBooks Online.
  • Experience with ADP for payroll processing.
  • Familiarity with Lightspeed POS or a similar retail point-of-sale system.
  • Strong understanding of GAAP, accrual vs. cash basis accounting, and retail accounting nuances such as inventory and COGS.
  • Bank reconciliation expertise as a core part of the weekly workflow.
  • Highly organized, detail-oriented, and comfortable owning a full set of books independently.
