Description

  • Create, manage, and maintain client and therapist schedules.
  • Coordinate new client onboarding and therapist assignments.
  • Monitor authorized service units to ensure sessions stay within insurance limits.
  • Communicate schedule changes with therapists, BCBAs, and families.
  • Approve or escalate overtime and make-up session requests in line with insurance guidelines.
  • Track cancellations and proactively reschedule sessions.
  • Maintain accurate documentation of all scheduling adjustments.
  • Collaborate with Operations and Clinical teams to support continuity of care.
  • Follow up on expiring authorizations and redetermination dates.
  • Ensure compliance with Medicaid and commercial insurance requirements.

Requirements

  • Experience in scheduling, administrative coordination, or data entry.
  • Strong organizational and time management skills.
  • Excellent communication and problem-solving abilities.
  • Ability to multitask in a fast-paced environment.
  • High attention to detail, especially around compliance and accuracy.
  • Strong interpersonal skills and ability to work across multiple stakeholders.
  • Experience in ABA, healthcare coordination, or insurance-based scheduling is advantageous.
  • Previous experience supporting therapists or clinicians is advantageous.
  • Familiarity with scheduling platforms such as CentralReach or similar EMR systems is advantageous.
  • Proficiency in Microsoft Office, with Excel and Outlook preferred.
  • Ability to work Monday to Friday, 9:00 AM to 6:00 PM EST (15:00 PM to 00:00 AM South African time, subject to daylight savings).
  • Willingness to work on both South African and U.S. public holidays, with SA holiday compensation in accordance with the BCEA.
  • Access to a fixed fibre internet line with a minimum speed of 25 Mbps upload/download and wired Ethernet capability.
  • Reliable power backup to manage load shedding or outages.
