Description

  • Own conference and industry event preparedness, from scheduling meetings to completing briefing documentation.
  • Lead end-to-end planning for team onsites and industry events, including venue coordination, logistics, and pre-event communication.
  • Coordinate onboarding schedules for new commercial team hires.
  • Manage and optimize calendars for commercial leaders and recurring team cadences, including pipeline reviews, business reviews, and leadership calls.
  • Own logistics for commercial leaders, including travel arrangements, meeting room bookings, and team events.
  • Use AI to capture weekly sales pipeline meeting notes, identify action items, and track follow-ups.
  • Triage day-to-day questions and requests from the team.
  • Maintain and organize the team Google Drive so folders, links, and files stay current and easy to navigate.
  • Oversee an outsourced processing team handling a high volume of monthly transactions and ensure established processes are followed.
  • Manage the Executive Sponsor program, including meeting scheduling, tracking, and follow-up.

Requirements

  • 4-6 years of experience in operations, project coordination, or a similar role.
  • Strong proficiency with standard business tools, including calendar, email, documents, spreadsheets, and presentations.
  • Comfort using AI tools in daily work, with examples of how they have improved productivity.
  • Ability to operate with minimal direction and know when to act versus escalate.
  • Ability to create repeatable processes and document them for others.
  • Strong attention to detail, especially with links, dates, and documentation.
  • Experience in SaaS, CPG, or retail industries preferred.
  • Comfort handling a wide range of tasks, including small and highly detailed work.
  • Availability to support higher-intensity periods during Q1 and Q4 peak planning seasons.

  • Base salary range of $84,000-$106,500 USD depending on permanent work location.
