Description

  • Receive, log, and track incoming referrals from phone, fax, email, and portals in real time.
  • Verify initial insurance eligibility, benefit levels, and authorization requirements for ABA services.
  • Collect and organize intake documentation from families and referring providers, including evaluations, prescriptions, and consent forms.
  • Communicate referral receipt, next steps, delays, and documentation needs to families and referral sources professionally and empathetically.
  • Assist with preparing and submitting prior authorization requests to Medicaid, managed care, and commercial payers.
  • Follow up on pending authorizations, document status updates, and monitor expiration dates for re-authorization needs.
  • Coordinate with clinical staff to obtain supporting documentation for authorization requests.
  • Flag complex, high-priority, or SCA-related cases and escalate them to the Lead Intake Specialist or appropriate specialist.
  • Maintain accurate intake records, complete documentation audits, and generate caseload status reports.
  • Collaborate with billing, clinical, and scheduling teams to ensure smooth handoff from intake to active service delivery.

Requirements

  • High school diploma or equivalent required; associate's or bachelor's degree in Healthcare Administration, Human Services, Business, or a related field preferred.
  • 1–2 years of experience in healthcare intake, patient access, insurance coordination, or administrative support.
  • Working knowledge of health insurance terminology, including prior authorizations, eligibility verification, EOBs, and Medicaid managed care.
  • Strong organizational skills with the ability to manage multiple active cases accurately.
  • Excellent written and verbal communication skills with the ability to communicate sensitively with families.
  • Proficiency in Microsoft Office Suite and/or Google Workspace, with the ability to learn new intake and tracking systems quickly.
  • Strict adherence to HIPAA regulations and confidentiality standards.
  • Experience in ABA therapy, behavioral health, or pediatric healthcare intake or patient access is preferred.
  • Familiarity with New York State Medicaid managed care plans, commercial payer prior authorization portals, and ABA-specific authorization requirements is preferred.
  • Bilingual English and Spanish is strongly preferred.
  • Experience using EHR systems, CRM platforms, or intake management software is preferred.
  • Ability to work in structured, process-driven environments with defined performance metrics and turnaround standards is preferred.
  • Primary internet connection of at least 15 Mbps and backup internet connection of at least 10 Mbps, with backup capable of supporting work during a power outage.
  • Desktop or laptop with at least an Intel Core i5 8th generation or newer, Intel Core i3 10th generation or newer, AMD Ryzen 5, or equivalent processor, plus 8 GB RAM.
  • Backup device that meets or exceeds an Intel Core i3 processor and remains functional during power interruptions.
  • Functioning webcam, noise-canceling USB headset, quiet dedicated home office space, and smartphone for communication and verification.
