Description

  • Maintain accurate financial records for IOLTA trust accounts and business operating accounts.
  • Process trust transactions carefully to protect client funds and keep IOLTA records traceable.
  • Reconcile bank, trust, operating, and accounting records and resolve discrepancies promptly.
  • Process deposits, disbursements, transfers, invoices, expenses, and other financial transactions.
  • Keep QuickBooks organized and up to date for reliable financial reporting.
  • Prepare recurring financial, reconciliation, and transaction reports using QuickBooks and Microsoft Excel.
  • Support month-end accounting activities by reviewing balances, organizing records, and completing reconciliations.
  • Communicate with legal and operational team members to obtain information, approvals, or corrections.
  • Identify unusual activity, missing documentation, and potential accounting issues proactively.
  • Maintain strict confidentiality of client funds, financial records, settlement information, and internal business data.

Requirements

  • Bachelor’s degree in Accounting or completed accounting coursework.
  • Previous hands-on accounting or bookkeeping experience within a U.S. law firm.
  • Experience managing both IOLTA trust accounts and business operating accounts.
  • Advanced QuickBooks proficiency with transactions, reconciliations, reports, and account records.
  • Strong Microsoft Excel skills, including formulas, reconciliations, data organization, and financial reporting.
  • Bilingual fluency in English and Spanish with clear written and verbal communication skills.
  • Strong accounting fundamentals and the ability to learn new workflows quickly, manage competing priorities, work independently, and maintain accuracy and confidentiality.
  • Accounting experience within a personal injury law firm (preferred).
  • Experience supporting month-end closing activities for a legal practice (preferred).
  • Familiarity with settlement-related transactions, client ledgers, or personal injury case accounting (preferred).
  • Experience improving bookkeeping, reconciliation, or financial reporting processes (preferred).
