Description

  • Shadow leadership in meetings to capture nuanced context and convert discussions into organized project briefs and action items.
  • Manage complex scheduling, internal communications, and administrative workflows to free up leadership time.
  • Maintain a single source of truth for internal documentation and agency processes.
  • Build and manage project workflows in Asana, ensuring tasks have clear owners, deadlines, and context.
  • Track progress of agency initiatives and proactively identify and address bottlenecks before they delay deadlines.
  • Translate verbal instructions and leadership 'brain dumps' into detailed technical or operational tasks for the broader team.
  • Build and maintain advanced trackers in Google Sheets/Excel to monitor project health and agency KPIs.
  • Assist in rolling out new operational initiatives and internal process improvements.
  • Perform ad-hoc research and organize data to support executive decision-making.

Requirements

  • Experience in Executive Assistance, Operations, or Project Management with a proven track record of getting things done.
  • Advanced working knowledge of Google Sheets with the ability to build, manage, and optimize complex spreadsheets (Excel experience valuable).
  • Strong organizational skills and comfort managing workflows; experience with Asana preferred.
  • Comfortable shadowing leadership, capturing high-level context, and translating it into actionable tasks.
  • Energetic, thoughtful, and proactive, with the ability to anticipate needs and next steps.
  • Ability to track project progress and identify/resolve bottlenecks before deadlines.
  • Experience building and maintaining operational trackers and reporting to support executive decision-making.
  • Applicants must be U.S.-based (contractor role); NYC-based candidates are a plus and may be prioritized.
