Description

  • Capture meeting notes, next steps, new contacts, and deal updates in HubSpot within one business day of customer interactions.
  • Keep seller email synced to HubSpot and resolve logging gaps when they occur.
  • Maintain current deal records, including stages, close dates, forecast categories, qualification fields, and account/contact data.
  • Own scheduling for customer meetings, demos, internal deal calls, and related confirmations, reschedules, and reminders.
  • Coordinate meeting logistics such as visitor requests, base access paperwork, demo setup, travel details, and conference schedules.
  • Prepare short pre-meeting briefs with attendees, account history, open action items, and recent activity.
  • Draft quotes and pricing documents, track approvals, and route RFIs, RFQs, and proposal requests to the proposal team.
  • Monitor inbound email and Slack for traveling sellers, handle routine responses, and escalate time-sensitive items.
  • Turn field debriefs into same-day CRM updates and draft follow-up emails for seller review using AI tools.
  • Track administrative time drains, report them monthly, and help implement process improvements such as templates, workflows, and automations.

Requirements

  • 1 to 3 years of experience in sales support, inside sales, sales operations, or a similar coordination role.
  • Strong written communication skills.
  • Experience with a CRM; HubSpot experience is a plus, and fluency is expected quickly.
  • Highly organized with strong attention to detail and the ability to manage multiple threads across several sellers.
  • Proficiency with generative AI tools for transcribing, drafting, summarizing, and streamlining administrative work, with daily use expected.
  • Discretion handling sensitive customer and deal information.
  • U.S. citizenship required for work supporting federal and defense customers.
  • Exposure to federal, DoD, or Intelligence Community sales cycles, government contracting, or related defense ecosystem experience preferred.
  • Familiarity with sales qualification frameworks such as MEDDPICC preferred.
  • Experience preparing quotes or supporting proposal workflows preferred.

  • Base salary of $83,300 to $112,700 USD.
  • Annual performance bonus targeted at approximately 10% of base salary.
