Description

  • Triage, manage, and delegate the partner inbox and payroll email accounts.
  • Respond to minor client queries, manage information requests, and follow up on missing documentation.
  • Manage the partner calendar, including scheduling client appointments and meetings.
  • Update, save, and maintain electronic client files and payroll documentation.
  • Send documents for electronic signing, track completion, and file signed documents.
  • Manage client proposals in Ignition and support the client onboarding process.
  • Assist with monthly financial data entry from supplied reports.
  • Reconcile accounts payable and receivable and handle straightforward bookkeeping tasks.
  • Prepare company payroll and support payroll administration.
  • Manage and update workflows in Karbon, upload marketing content as directed, and provide general administrative support.

Requirements

  • 3–5 years of administration experience, ideally in a financial services or accounting environment.
  • Xero experience is essential; Xero Advisor certification is highly regarded.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Some familiarity with New Zealand taxation terminology and abbreviations is advantageous.
  • Experience with Karbon or Ignition is a strong advantage.
  • High level of written and verbal English communication skills.
  • Demonstrated ability to handle confidential financial and payroll information with integrity.
  • Strong organizational skills, time management, and attention to detail.
  • Ability to work independently and manage tasks without close supervision.
