Description

  • Set up and transfer project contracts and budgets into the construction financial system.
  • Track project costs, labor, expenses, subcontractor invoices, and cost codes accurately.
  • Work with the Accounting Team on financial reviews and project cost transfers.
  • Manage project financials in Procore and Vantagepoint and prepare monthly financial status reports and budgets.
  • Track and control RFIs, submittals, and related project documentation using Procore and Newforma.
  • Maintain formal document storage and transmission in accordance with company policy and controlled-classification requirements.
  • Coordinate subcontractor commitments, work-in-process, accruals, invoicing, approvals, and payments with Subcontract Administrators.
  • Support project logistics including meeting minutes, contracts, correspondence, travel, badging, safety administration, and expense reports.
  • Schedule and coordinate meetings, site visits, ordering, receiving supplies, and transmittals.
  • Assist with job-site employee onboarding and off-boarding and serve as client contact when the Project Manager is unavailable.

Requirements

  • Minimum of an associate degree or equivalent from a two-year college or technical school, or four or more years of related experience and/or training, or an equivalent combination of education and experience.
  • At least 4 years of experience as a Project Administrator or in a similar role in a construction environment.
  • At least 2 years of accounting experience.
  • Experience with or ability to quickly learn Procore.
  • Experience drafting meeting minutes from notes and combining others’ notes into a single formal document.
  • Must be a U.S. citizen or permanent resident.
  • Ability to operate a computer and work proficiently in Procore, Deltek Vision/Vantagepoint/Costpoint, Microsoft Outlook, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Adobe, and Bluebeam Revu.
  • Experience with controlled document classifications such as ITAR and CUI using Newforma.
  • Ability to sit at a desk for four or more hours per day and frequently lift and carry objects up to 10 pounds.
