Description

  • Receive and review order details from the Planning team, then send purchase orders to factories within SLA.
  • Confirm factory receipt of purchase orders and flag discrepancies to the Production Manager.
  • Identify missing information, process gaps, and operational risks, and help resolve them cross-functionally.
  • Submit proforma invoices to Accounting to initiate deposit payments and production kickoff.
  • Follow up with Accounting to confirm deposits are sent and received by the factory.
  • Receive final proforma invoices from factories and submit them promptly to Accounting so goods can be released for shipment.
  • Track UPC and master carton approvals to ensure markings are accurate and production or shipment is not delayed.
  • Monitor shipping setup with Freight Forwarders and confirm booking, approvals, and outstanding items are moving forward.
  • Escalate delays or blockers to the Production Manager when intervention is needed.
  • Collaborate with Planning, Accounting, factories, logistics partners, and global stakeholders to keep workflows moving without friction.

Requirements

  • 3+ years of experience in order management, operations coordination, or a related administrative role.
  • Strong organizational skills and high attention to detail, especially with financial documents, UPC data, and carton specifications.
  • Clear, professional written communication skills for internal and external follow-ups.
  • Proficiency in Excel or Google Sheets for tracking, data entry, and document management.
  • Comfort working with Accounting and Finance teams on payment workflows and invoice submission.
  • Experience with multi-step operational processes involving multiple stakeholders.
  • Strong follow-up discipline to resolve issues before they become blockers.
  • Experience collaborating with international teams, vendors, manufacturers, or external operational partners across multiple regions.
  • Familiarity with retail compliance, UPC setup, or GS1 standards is a plus.
