Description

  • Greet and check in clients and patients, verify and update medical records, and confirm appointment details in practice management software.
  • Answer and manage a multi-line phone system for scheduling, prescription refill requests, vaccination records, and general hospital inquiries.
  • Perform client check-out, process payments, post charges, explain invoices, and schedule follow-up appointments.
  • Communicate medical information, diagnoses, and care instructions clearly and compassionately, including in sensitive end-of-life situations.
  • Maintain accurate electronic medical records and timely data entry in the veterinary practice information management system.
  • Coordinate with veterinarians, technicians, and support staff to relay client communications, flag urgent cases, and support patient flow.
  • Maintain cleanliness and organization of the reception area and waiting room.
  • Deliver consistent, high-quality customer service in a high-volume clinical front-desk environment.

Requirements

  • Minimum 1 year of experience as a veterinary receptionist is required.
  • Experience with veterinary practice management software is preferred, including Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet.
  • Knowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic procedures.
  • Proficiency in appointment scheduling, multi-line phone management, medical records management, and payment processing.
  • Proven customer service skills with the ability to manage high-volume client interactions calmly and accurately.
  • Strong verbal and written communication skills, including active listening and conflict resolution.
  • Comfortable handling animals of varying sizes, breeds, and temperaments, including fearful or reactive patients.
  • Experience working in a clinical or veterinary setting is preferred.
  • Availability for a full-time schedule averaging 30–40 hours per week, including hospital hours Monday–Saturday.
  • High school diploma or equivalent is implied by front-desk veterinary reception experience, though not explicitly stated.
