Description

  • Manage incoming call queues and serve as the first point of contact for patients.
  • Identify, contact, and re-engage lapsed patients through hygiene recall campaigns.
  • Schedule new patient consultations, routine emergency exams, and ongoing hygiene appointments.
  • Execute daily outbound confirmation calls and text sequences to reduce no-shows and fill cancellation gaps.
  • Contact dental insurance carriers to request benefit breakdowns and verify coverage details.
  • Create new patient profiles and digital charts with accurate demographic, medical, and insurance information.
  • Organize and maintain the practice email inbox by sorting inquiries, removing spam, archiving logs, and routing priority messages.
  • Coordinate closely with the on-site clinical team to support a seamless patient experience.
  • Answer scheduling and basic billing questions with a warm, professional phone demeanor.

Requirements

  • 1–2+ years of direct experience as a Virtual Dental Receptionist, Dental Admin, or Treatment Coordinator for a U.S.-based dental practice.
  • Proven experience managing a hygiene recall pipeline and bringing unscheduled patients back into the practice.
  • Solid understanding of dental insurance verification, frequencies, and limitation breakdowns for PPO/HMO plans.
  • Clear, professional verbal and written English communication skills with an articulate, welcoming phone presence.
  • Distraction-free home office setup compliant with HIPAA privacy laws.
  • High-speed internet connection.
  • Mandatory automated time-tracker usage.
  • Experience with dental software and digital charting.
  • Ability to handle high-volume database management and administrative intake tasks.
