Description

  • Manage a portfolio of clients as their primary corporate secretarial point of contact, ensuring timely delivery of agreed services and high client satisfaction.
  • Prepare and submit statutory filings and ensure compliance with Singapore regulatory deadlines (e.g., ACRA/Companies Act requirements).
  • Act as or accept appointment as named company secretary where required and attend board of directors meetings for clients.
  • Maintain accurate client billing and portfolio documentation, and ensure deliverables align with scope of services and timelines.
  • Build a comprehensive understanding of each client’s operations and use that knowledge to advise on corporate-secretarial matters and escalate complex issues appropriately.
  • Proactively seek guidance from senior team members for complex client requests and work with stakeholders to resolve issues effectively.
  • Drive process improvements, automation and robust workflows to improve filing accuracy, compliance, customer experience and profit margins.
  • Be available and responsive to client communications, prioritise tasks under pressure, and meet tight deadlines while maintaining confidentiality and professional standards.

Requirements

  • Recognised degree or diploma in Business Administration, Corporate Services, Legal Studies or equivalent.
  • Preferably CGQP-qualified and membership of CSIS (preferred).
  • Preferably more than 5 years’ experience in client-facing roles handling complex corporate secretarial matters, including acting as RQI and named company secretary and attending board meetings.
  • Basic and demonstrable understanding of Singapore regulatory framework including the Companies Act (1967), AML/CFT policies and ACRA-related financial reporting matters.
  • Proven track record of working in a fast-paced, technology-driven organisation.
  • Hands-on experience with Google Workspace and Microsoft applications and familiarity with productivity/automation software.
  • Self-motivated, highly organised, detail-oriented, with strong interpersonal and communication skills.
  • Ability to adapt to VUCA environments, contribute to process improvements and be comfortable having difficult conversations constructively.
  • Immediate availability is preferred and candidates must consent to background screening (education, criminal history, political exposure, bankruptcy/adverse credit checks).
