Description

  • Serve as the primary contact for prospective and existing clients, families, and staff.
  • Manage incoming calls, messages, enquiries, and follow-up communications.
  • Conduct weekly check-ins with Registered Behavior Technicians, parents, and families.
  • Conduct intake calls and manage prospective clients through onboarding.
  • Maintain an organized intake pipeline and accurate client and lead records.
  • Coordinate schedules, updates, transitions, conflicts, cancellations, and related communications.
  • Maintain accurate client, staff, and administrative profiles and records in relevant systems.
  • Proactively resolve issues, escalate when necessary, and ensure follow-ups are completed.
  • Identify process improvements and adapt quickly to new systems, terminology, and procedures.

Requirements

  • Previous experience as a Healthcare or Medical Receptionist, Patient Coordinator, Intake Coordinator, Care Coordinator, or in a similar client-facing administrative role.
  • Strong experience handling inbound and outbound calls and communicating professionally with clients or patients.
  • Experience managing appointments, schedules, follow-ups, or client pipelines.
  • Excellent verbal and written English communication skills.
  • Strong customer service, administrative, organizational, problem-solving, and critical-thinking skills.
  • Strong proficiency in Microsoft Office, particularly Microsoft Teams and Excel.
  • Ability to work full-time during U.S. business hours, 9 a.m.–5 p.m. EST.
  • Ability to work independently in a remote environment.
  • Experience with CentralReach is advantageous but not required; training is provided.
