Description

  • Manage job costing, code invoices, and maintain accurate cost records in QuickBooks throughout each project lifecycle.
  • Maintain project budgets and forecasts in Excel or Google Sheets with regular budget-versus-actual tracking and variance reporting.
  • Manage change orders from initiation through documentation, approval, and recordkeeping.
  • Monitor field team time entries in QuickBooks Time, correct discrepancies, and maintain payroll-ready data.
  • Maintain project schedules and rolling 3-week lookaheads, coordinate sequencing, and flag schedule risks proactively.
  • Solicit bids, onboard subcontractors, issue agreements, and track insurance, licensing, and compliance documentation.
  • Support pre-construction activities including bidding support, permit applications, utility coordination, and site setup logistics.
  • Maintain organized project documentation in Google Drive, including RFIs, submittals, plan revisions, and change records.
  • Conduct daily coordination check-ins with field teams and track daily logs, deliveries, and open items across active projects.
  • Provide regular client updates, run client meetings, and manage expectations around schedule and budget changes.
  • Manage project closeout tasks including punch lists, as-builts, warranties, final lien releases, and warranty follow-up.
  • Build and improve tracking systems, templates, workflows, and automations to increase efficiency and scalability.

Requirements

  • 4 to 8+ years of construction project management or operations experience.
  • Hands-on QuickBooks job costing experience is highly preferred.
  • Proficiency with QuickBooks Time or equivalent field time tracking platforms.
  • Advanced Excel and Google Sheets skills for budgeting, tracking, and reporting.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills for client and team interactions.
  • Ability to hold field teams accountable to time, documentation, and process standards remotely.
  • Prior remote construction project management experience in a U.S.-based operation is preferred.
  • Residential and light commercial construction background is preferred.
  • Familiarity with permitting processes and HOA coordination is preferred.
  • Experience with Xactimate for insurance project estimating is preferred.
  • Availability to overlap with Pacific Standard Time for at least 4 to 6 business hours.
  • This is a full-time, 100% remote role.
