Description

  • Provide warm, friendly client interactions as the first point of contact at the welcome desk.
  • Manage client check-in and check-out, answer questions, and route information to the appropriate team members.
  • Give waiting area tours to new clients and help orient them to the practice.
  • Ensure paperwork, consents, and insurance information are collected and complete.
  • Manage the client schedule by scheduling appointments in real time and through the online platform.
  • Anticipate schedule needs and improve scheduling efficiency based on client and provider needs.
  • Perform insurance verification of benefits and help manage billing-related tasks.
  • Collect copays and outstanding balances and discuss or set up payment plans with clients.
  • Help prepare the office for the day, keep the space organized and pristine, and support inventory tasks.
  • Manage phone triage and coordinate communication between team members as needed.

Requirements

  • Customer service and hospitality experience is strongly preferred.
  • Bachelor's degree preferred, or a high school diploma/GED with 2+ years of experience in a related field.
  • Proficiency with Google Suite or Microsoft Office products.
  • Strong computer skills, with familiarity with EMRs preferred.
  • Ability to stay organized and create structure in a fast-paced, dynamic environment.
  • Excellent communication and interpersonal skills.
  • Ability to manage many tasks at once without feeling overwhelmed.
  • Strong attention to detail and ability to prioritize effectively.
  • Interest in growth, process improvement, and learning new tools, processes, and systems.
  • Comfort working in highly collaborative, fast-paced environments.
