Description

  • Monitor upcoming refix/rollover dates in Trail CRM and run refix reports to prepare client lists on a set cadence.
  • Send refix communications (email/SMS), follow up with non-responding clients, and prepare refix instructions/summaries for review.
  • Manage the full client engagement/compliance workflow in Trail, ensuring all advice, documents, and communications are uploaded, tagged, and post-settlement files are audit-ready.
  • Send tailored document checklists, track receipt, perform quality checks for completeness and consistency, and flag discrepancies to management.
  • Pre-fill and draft loan applications in Trail/aggregator systems for review and enter key client data accurately into application templates.
  • Prepare Mortgage Recommendation/Compliance documents and bank handover/settlement packs, and ensure clients and banks are prepared for settlement.
  • Liaise with banks/BDMs and third parties by submitting follow-ups, tracking lender SLAs and outstanding conditions, booking valuations, and maintaining pipeline/settlement tracking reports.

Requirements

  • 1–2+ years mortgage broking or banking administration experience in NZ or AU supporting mortgage brokers or similar roles.
  • Experience with CRM systems; Trail CRM strongly preferred, with other broker CRMs (e.g., Salestrekker, MyCRM, Mercury) acceptable and willingness to learn Trail quickly.
  • Strong understanding of the end-to-end home loan process from initial enquiry through post-settlement and refixes.
  • Demonstrated experience with document collection and verification and basic servicing/policy concepts at a support level.
  • Experience working with aggregators and lender portals and entering data into application templates.
  • Detail-oriented and process-driven; able to follow checklists and SOPs and maintain audit-ready files.
  • Proactive follow-up skills and the ability to manage tasks, refixes, and outstanding documents with minimal prompting.
  • Strong written and spoken English and confidence communicating with clients and lenders within agreed boundaries.
  • Ability to work remotely and collaborate via email, chat, and video, take feedback, document processes, and gradually take on more responsibility.
  • Technical requirements: reliable computer and high-speed internet for video calls; ability to work within NZ business hours for at least part of the day; comfortable using email/calendar tools, cloud storage (Google Drive/OneDrive), and basic spreadsheets (Google Sheets/Excel).
  • Nice-to-have: prior experience with Kiwi Adviser Network (KAN) / NZ aggregators, experience drafting mortgage applications in NZ/AU, and experience handling refix/retention programs at scale.

  • Salary up to 1,700 NZD/month (final amount at client discretion based on candidate’s skills and experience).
  • 100% remote work setup with Mondays–Fridays 8:00am–4:30pm NZT (approx. 3:00am–11:00am Philippine Time) and some flexibility.
  • New Zealand public holidays observed.
  • Work schedule aligned with NZ business hours for at least part of the day to support client and lender interactions.
