Description

  • Lead the logistics workstream for assigned branded events across planning, production, and onsite execution.
  • Oversee and direct event timelines, workbacks, and cross-functional deliverables to ensure alignment with marketing goals and seamless execution.
  • Manage shipping and inventory of event materials and maintain scalable processes for accuracy and reuse.
  • Develop, negotiate scopes with, and manage vendor and production partner relationships, ensuring timely, quality delivery.
  • Serve as on-site lead at select events, making real-time operational decisions for scheduling, staffing, vendor execution, and attendee logistics.
  • Oversee event budgets for assigned programs, including expense tracking, invoice approvals within limits, reconciliation, and variance reporting to leadership.
  • Coordinate event logistics such as travel, lodging, catering, AV, registration workflows, and attendee communications to deliver a high-quality attendee experience.
  • Partner with cross-functional teams (Marketing Ops, Sales, Customer Success, Creative) on event branding, digital assets, collateral, and experiential elements.
  • Support event documentation and data management (contracts, shipping manifests, attendee lists) and contribute to post-event reporting, survey execution, and insights documentation.
  • Identify and implement process improvements, contribute templates/checklists/operational best practices, and partner on larger process or tool redesigns as needed.

Requirements

  • 5–8 years of experience in corporate event operations, branded/hosted events, or event marketing operations, preferably in a high-growth or global organization.
  • Proven ability to lead logistics strategy and vendor/production partner management with minimal oversight.
  • Strong organizational and project management skills with the ability to manage multiple programs and stakeholders simultaneously.
  • Excellent written and verbal communication skills and a collaborative, customer-focused approach.
  • Proven ability to work independently, exercise sound judgment under pressure, and resolve complex operational challenges in real time.
  • Financial acumen with experience managing event budgets, reconciling expenses, and reporting on spend.
  • Proficiency with Google Workspace, Slack, and Zoom; experience with event platforms such as Cvent or Bizzabo preferred.
  • Ability to travel up to 25% annually, including international travel and occasional multiple-stop or back-to-back event weeks.
  • Nice-to-have: prior experience overseeing conferences, executive programs, or branded experiential events and working with creative agencies, production, or fabrication vendors.
  • Nice-to-have: familiarity with project management/collaboration tools (Notion, Asana, Trello), event registration platforms, virtual event technologies, and a strong analytical/problem-solving mindset.
